Case Summary

This challenging case consisted in performing a deep end-to-end professional assessment of the company’s existing processes, workflows, platforms, integrations, and how these were documented. The main goal was to detect flaws, inefficiencies, redundancies, and obsolete elements to revamp them with state-of-the-art solutions and modern-day operational approaches.
After conducting an intensive Gap Analysis over the different platforms -they were using to run their operations- on top of their processes and workflows, we developed a comprehensive upgrading plan involving the adoption of new platforms, proven best practices, the integration and maximization of existing ones -that were not being used as best as possible-, and a staff training program, so they could understand the whys and hows of this new and more efficient operations approach.

Post-intervention, the company runs more efficiently, with newly improved workflows that enable better information management. More visibility and clarity for better decision-making, and less time invested in doing the same tasks. This new scenario grants a great opportunity for growth and success.

Mobilize!

Mobilize is a company with a very particular mission: to create the technology that empowers humans to push the limits of what’s possible. As a Colorado-based product development firm, they create solutions centered on intention and integrity. Their roots in marketing and technology give their team the foundation to build innovative products with a BIG impact.
Since founded in 2014, they’ve been serving top-tier clients such as US Air Force, Army National Guard, and US Space Force, as well as private customers. Specifically, VISION is one of their star products. A proprietary military-grade platform designed for mass messaging to over a million users in minutes.

The Challenge

The first step was to get a very clear and concise picture of Mobilize’s operational status and condition. This showed that the core challenge was solving the lack of collaboration among different company teams, where information did not flow smoothly, and visibility was halted.

Once this baseline scenario was mapped out, IT Visionists would develop, correct, streamline, and implement all possible efficiencies to provide Mobilize with a new operational handbook for the department. This would involve the setup of new tools, improving existing tools, designing new processes, best practices and new efficiencies taking into account their specific business needs.

The Solution

As a first step, we decided to execute a Gap Analysis over:

  • The existing tools and platforms
  • The existing processes and workflows
  • The existing level of documentation and its purpose.

Then we proceeded to create workflows to map the company’s processes and implement all the possible optimizations, automations, integrations. We set up both new tools and optimized existing ones, to bring in more efficiency and enhance the flow of information.

Ultimately, we designed tailored workshops to train and reeducate all the involved staff members to properly use the new integrations, and new best practices to abide by the new processes and workflows.

The Results

After the efficiency improvement plan was entirely executed, the obtained results including:

  • Overall operations were improved.
  • Existing tools’ usage was revamped following best practices in line with their business needs.
  • Document management, task and project management, time management, budget management, and HR management had new workflows, processes, and integrations to run smoothly.
    • Time Tracking tool was set up in an easy to use way so teams could log their hours.
    • Budget control was linked to billable and non-billable hours.
    • A new go-to wiki was setup for Mobilize covering all it’s processes.
  • Overall time invested in most tasks was reduced by 55%.
  • Company’s projects completion time was reduced by 40%
